Fulfillment Policy

This Fulfillment Policy describes how neurocollective LLC delivers services, handles cancellations, and processes refunds.

Service Scope

neurocollective LLC provides the following categories of services:

  • Professional Certifications: Multi-level AI adoption engineering certifications (L1 through L4), delivered through a combination of online coursework, assessment, and practical application
  • Workshops: Instructor-led sessions focused on specific aspects of AI adoption engineering, available in virtual and in-person formats
  • Advisory Services: Consulting engagements for organizations navigating AI adoption, delivered through structured programs tailored to organizational needs
  • Digital Tools: Online assessment tools (such as the PACE assessment) and related digital resources available through our website

Each service type has specific delivery, cancellation, and refund terms as described in the sections below.

Digital Delivery

Certification program coursework is delivered digitally through our learning management system (LMS) partner, Southern Nazarene University (NSU) Blackboard.

  • LMS access is provisioned within 1 business day of payment confirmation
  • You will receive access credentials and onboarding instructions via your registered email address
  • Access includes all course materials, assessments, and resources associated with your enrolled certification level
  • Digital delivery is considered complete once LMS access credentials have been sent to your email address

If you do not receive your access credentials within 1 business day, please check your spam or junk folders and then contact us at [email protected].

Access Period

Each certification program includes a defined access period during which you may complete your coursework and assessments:

  • L1 AIE Practitioner: 12 months from the date of enrollment
  • L2 through L4 programs: Access periods will be specified at the time of enrollment when these programs become available

Access periods begin on the date your LMS credentials are provisioned, not the date of payment. If you need an extension due to extenuating circumstances, please contact us to discuss your situation.

Cancellation Windows

neurocollective offers a 14-day satisfaction guarantee from the date of enrollment. During this period, you may cancel your enrollment for any reason and receive a full refund.

  • The 14-day window begins on the date your payment is confirmed, not the date you first access your LMS account
  • To cancel, email [email protected] with your enrollment ID, registered email, and a brief note that you wish to cancel
  • No reason is required for cancellations within the 14-day window

Refund Policy

Our refund terms are as follows:

  • Within 14 days of enrollment: Full refund, no questions asked. Refunds are processed to the original payment method.
  • After 14 days (digital access provisioned): Refunds are not available once the 14-day satisfaction guarantee period has passed and digital access has been provisioned. This is because digital course materials and LMS access cannot be "returned" in the way physical goods can.
  • Workshop seats (unused): Partial refunds may be considered on a case-by-case basis for workshop seats that were purchased but not used. Please contact us at least 5 business days before the workshop date.

All refund amounts are returned to the original payment method used at the time of purchase.

Credit in Lieu of Refund

At neurocollective's discretion, we may offer credit toward future programs or services instead of a monetary refund. This may be offered when:

  • A refund request falls outside the 14-day satisfaction guarantee but involves circumstances that warrant accommodation
  • You wish to transfer your enrollment to a different certification level or program
  • Scheduling conflicts prevent you from completing a workshop you have registered for

Credits do not expire and may be applied to any neurocollective product or service. Credit decisions are made on a case-by-case basis and are at our sole discretion.

Digital Non-Returnability

Digital products and services (including LMS access, course materials, assessment tools, and certification resources) are non-returnable once provisioned. Unlike physical goods, digital access cannot be recalled or "returned" after delivery.

This is why we provide the 14-day satisfaction guarantee: to give you adequate time to evaluate the program before your purchase becomes final.

Access Failure Remedy

If we are unable to provision your LMS access within 3 business days of payment confirmation, you are entitled to request a full refund regardless of other refund terms.

  • This remedy applies specifically to failures in our delivery process, not to technical issues on your device or network
  • To request a refund under this provision, email [email protected] with your enrollment ID and a description of the access issue
  • We will investigate the issue and, if confirmed, process your refund within 5 business days

Request Process

To request a cancellation, refund, or credit, please email [email protected] with the following information:

  • Your enrollment ID (provided in your enrollment confirmation email)
  • The email address associated with your enrollment
  • The reason for your request (not required for cancellations within the 14-day window)

Processing Timeline

We handle all fulfillment requests according to the following timeline:

  • Acknowledgment: You will receive an acknowledgment of your request within 1 business day
  • Review: Refund and cancellation requests are reviewed within 3 business days
  • Decision: You will be notified of the outcome via email, including any next steps
  • Settlement: Approved refunds are processed within 30 days of approval. Actual receipt depends on your payment provider and financial institution.

Chargeback and Dispute Process

We encourage you to contact us directly before initiating a chargeback or payment dispute with your bank or credit card company. In many cases, we can resolve concerns faster and more favorably through direct communication.

  • Email [email protected] with your concern and we will respond within 1 business day
  • If you do initiate a dispute through your payment provider, it will be handled through Stripe in accordance with the applicable card network rules (Visa, Mastercard, etc.)
  • We will provide evidence of delivery and service fulfillment as part of any dispute resolution process

Policy Versioning

This Fulfillment Policy is version 1.0, effective 2026-02-10.

When we make changes to this policy, we will:

  • Update the version number and effective date
  • Notify affected enrollees via email if changes materially alter their refund or cancellation rights
  • Maintain prior versions for reference upon request

The version in effect at the time of your enrollment governs your transaction, unless a newer version expands your rights, in which case the newer version applies.
